Finance/Administration Assistant (part time)


We are looking for a bright and enthusiastic Finance/Administration Assistant with great attention to detail to join our team.  The role is part time 2-3 days per week, based in our London Bridge head office.

Ruffians is one of the leaders in the UK’s barber shop and men’s grooming industry, with stores throughout London and in Edinburgh. The Ruffians team has been driving the men’s hairdressing revolution over the last five years, blending modern hairdressing with the craft of the old-world barber shop. At Ruffians, it is all about the customer with every detail of the experience crafted from a customer perspective.  Our grooming range is due for launch in Q4 2018.

The role will initially cover the following responsibilities; however, we are a rapidly growing business and there will be the opportunity for this role to expand and evolve as we do!


  • Ensure all new purchase invoices and credit notes are printed, filed and accurately processed using SAGE accounting software
  • Prepare purchase invoices for weekly payment run
  • Liaise with suppliers to deal with any queries
  • Process and file sales invoices
  • Assist with debtor and credit control

Cash management

  • Process staff expenses and ensure timely payment
  • Reconcile petty cash transactions with receipts
  • Assist with bank reconciliation
  • Check cash banking amounts and reconcile to bank statement

Payroll and HR

  • Assist with monthly payroll calculations to ensure payments to staff are accurate and made on time
  • Update, analyse and distribute weekly performance target reports


  • Assist the Marketing & Communications Manager with copy, artwork and design materials
  • Potential to help with press release creation, circulation and reporting
  • Working with Store Managers and Marketing Manager to ensure pop-up and in-store events are correctly organised and resourced

Technical Skills and Previous Experience

  • Strong Microsoft Excel skills
  • Ideally have previous experience in a similar role, fir example admin assistant or bookkeeping
